Whether you’ve just shown a potential buyer around the most expensive property on your books or you’re looking to chase up a serial property flipper, when it comes to real estate, a strong follow up email game can quite literally be worth millions of dollars.
Buyers are getting younger and younger, and that means they are increasingly preferring email communication rather than phone calls or face-to-face meetings.
So while real estate agents pride themselves on their people skills and in-depth property knowledge, these days it’s just as important to be great at communicating via email.
With this in mind, here are 8 of the most useful real estate follow up templates:
1. Listing Feedback Email
Hi [Contact Name],
Just dropping you a note to check whether you were able to access the listing information I sent over [last Monday].
I’d love to get your feedback on the selection of properties I shared. Did any of them catch your eye? Or are they missing important features you’re looking for in your next property? If so, I’d be happy to send over information on some of the other fabulous properties on my books.
As always, I’d be thrilled to book in a meeting with you to view any properties that appeal to you.
Please don’t hesitate to get in touch should you have any questions or feedback on any of the properties.
2. Viewing Follow-Up Email
Hi [Contact Name],
Thank you for your time on [date] – it was great to meet you.
I just wanted to drop you a note to see how you felt about the property overall. I know you were unsure about [issue] as we looked around, but [offer solution to issue].
As I mentioned on [date], this property is expected to sell quickly, so if you are interested, it would be fantastic to get a call or meeting booked in to put together an offer.
Please don’t hesitate to get in touch if you have any questions or feedback.
3. Open House Follow-Up Email
Hi [Contant Name],
I just wanted to thank you for taking the time to come to the open house on [street name] on [date] – it was great to meet you.
How did you feel about the property? I’d love to get your feedback.
I remember you said you were particularly interested in properties within [neighborhood], and I have a few great options in the area to show you – including one [that has just come on the market/that has special feature/that has renovation potential]. Please find the listing information attached.
If you’re interested in viewing any of the properties, please don’t hesitate to get in touch – I know [neighborhood] very well, and have been operating in the area for [X years] so you’re in good hands.
4. Potential Seller Follow-Up Email
Thanks so much for taking the time out of your day on [date] to discuss the potential sale of your home – it was great to meet you!
To confirm some of the information you gave me, you’re looking at a timeline of [date-date] to sell your property, and believe the property is worth around [$price]. Is this still correct?
The next steps will be for me to create a custom valuation report, which I will send over before [the end of the week]. Do you have a window in your calendar to discuss the report next week?
In the meantime, please don’t hesitate to reach out should you have any questions or concerns.

5. Valuation Follow-Up Email
Are you still interested in finding out the value of your home? I’m free [date], [date], and [date] – do any of those dates and times work for you?
Once I’ve surveyed your property, I’ll create a custom report for you that breaks down the valuation.
Please feel free to reach out if you have any questions or queries in the meantime.
I look forward to meeting you.
6. One Year Post Sale Follow-Up Email
Happy house anniversary! I hope you’ve enjoyed the first year in your new home, and have settled in nicely. If there’s anything I can help with, please don’t hesitate to reach out and ask.
Furthermore, I sincerely hope you have had a good experience with me as a realtor. If you have, I would really appreciate it if you could pass my details onto any of your friends or family who are looking to buy or sell in [area].
Of course, I always appreciate feedback too, should you have any.
7. Non-Responsive Lead Follow-Up Email
I received your information from [name], who told me you were seeking to [buy/sell] a property in [area]. I just wanted to check that this is still the case?
If so, it would be great to get a call booked in with you soon. I’m free [date], [date], and [date] – do any of those times work for you?
If not, just let me know and I’ll delete your data from the system so I’m not overloading your inbox.
8. Reconnecting With an Old Client Email
How are you and [partner’s/kids’ names] doing? I know it’s been a while since we worked together on buying/selling [property address], but I thought it would be a good time to get in touch to see if there’s anything else I can help you with? For instance, I’d be happy to visit and conduct a free, no-strings appraisal on your [new address] property.
If you have any family members or friends who are looking to buy/sell in [area], please feel free to pass on my information too. I value referrals from past clients very highly.
If you have any questions or if there’s anything at all I can help you out with, please don’t hesitate to reach out – it would be great to catch up.
